Privacy Policy

How we handle your data, and the data of the people who call you.

This policy explains what ConverslyAI collects, why, how long we keep it, and how you or your customers can have it removed. It is written to comply with the Digital Personal Data Protection Act, 2023.

1. Who we are

ConverslyAI provides an AI voice receptionist to businesses in India. Where you are our customer, you are the Data Fiduciary for your callers' data and we act as your Data Processor, handling that data only on your instructions.

2. What we collect

From you, the business owner: name, business name, phone number, email address, industry, billing details and GSTIN.

From people who call your number: the phone number they called from, an audio recording of the call, a written transcript, an AI-generated summary, and any details they give during the conversation — typically a name, a preferred appointment time, and whatever your script asks for.

Automatically: IP address, browser type and pages visited on this website.

3. Why we process it

  • — To answer calls, book appointments and deliver the service you are paying for.
  • — To show you recordings, transcripts and summaries in your dashboard.
  • — To send booking confirmations and reminders to your callers on your behalf.
  • — To bill you and meet our tax and accounting obligations.
  • — To detect abuse, fraud and misuse of the platform.

We do not sell your data. We do not use your call recordings or transcripts to train models for other customers or third parties.

4. Who we share it with

Only the service providers needed to run the product:

  • Telephony provider — carries the call and produces the recording.
  • Speech and language model providers — convert speech to text and generate replies and summaries.
  • Cloud hosting — stores your data.
  • Payment gateway — processes your subscription. We never see or store your full card number.
  • Government authorities — only where required by law, and only to the extent required.

5. Where it is stored, and for how long

Recordings, transcripts and customer records are stored on servers located in India. Some processing by our speech and language model providers may occur outside India; where it does, it is covered by contractual safeguards and the data is not retained by those providers for training.

Default retention is 12 months for recordings and transcripts, and for the life of your account for appointment and contact records. You can change the retention period or delete individual calls at any time from your dashboard.

6. Your rights

Under the DPDP Act you can ask us to show you the personal data we hold about you, correct anything inaccurate, delete it, or nominate someone to exercise these rights on your behalf. Write to the address in section 9 and we will respond within 30 days.

If one of your callers asks you to delete their data, you can do it yourself from the dashboard, or ask us and we will do it for you.

7. Call recording and consent

Calls to your number are recorded. You are responsible for telling your callers that calls may be recorded — we provide an opening announcement you can enable for this, and we recommend you use it. You are also responsible for making sure your outbound calling complies with TRAI regulations and the national Do Not Disturb registry.

8. Security

Data is encrypted in transit and at rest. Access is restricted to your own account, and internally to staff who need it to support you. If a breach occurs that is likely to affect you, we will notify you and the Data Protection Board without undue delay.

10. Changes

We will post any change to this policy on this page and update the date above. Material changes will also be emailed to account holders.
